Processing of personal data
Website Visitors
Titania processes personal data provided in connection with expressions of interest in a project. This is done for the purpose of offering information about and the opportunity to participate in the project (see below under the heading “Home Buyers”).
On our website, we use forms that allow you to contact us regarding general inquiries or to report issues. We request certain information in order to, for example, handle your service request or customer support matter. The data we receive is processed in accordance with our procedures for each type of case. We retain the information for as long as the matter is ongoing or for the duration of the warranty period for the actions performed.
Home buyers
We process personal data that you provide either through an expression of interest on our website or when contacting us at sales events and viewings. These processing activities are carried out based on legitimate interest as the legal basis. All information we collect about you is related to the sale of our residential properties. We use the data to:
- Communicate with you regarding projects you have expressed interest in
- Send newsletters about projects you have shown interest in
- Send invitations to events and viewings related to those projects
- Share your contact details with the responsible real estate agent so they can provide relevant information about the project
Your personal data is shared with a number of partners in order to provide the necessary services related to your expression of interest. For example, the designated real estate agent will receive your personal data to initiate a dialogue with you regarding the property.
Tenants
When You Are Offered a Residence
When you are offered a residence with Titania, we need to process certain personal data about you. This includes information about your financial situation, employment, and how you have managed previous housing and rent payments. As part of this process, we obtain a credit report, collect information from debt collection agencies and the Swedish Enforcement Authority, and process employment certificates, other documentation, and references you provide. If you have a legal guardian or trustee, we also need to process that information. We retain your data for as long as it remains relevant and up to date. Credit reports and information from debt collection agencies and authorities that we collect to assess your eligibility as a tenant are not stored. However, if you are denied a residence due to not meeting our tenant criteria, we will retain your personal data for three months following the decision.
During the tenancy
When you become a customer and sign a tenancy agreement with us, we process your personal data in order to fulfill and manage our obligations as landlord and contractual party. During the tenancy, we process your personal data, for example, when we send rent invoices and manage your payments, when we collect data on electricity and/or water/heating consumption, during rent negotiations, and when we send you necessary information.
We may also need to update your personal data against public records to ensure accuracy. If you live in student housing, we will, for example, verify your enrollment status. If you have protected personal data, we will handle your information in accordance with our procedures for such cases.
We also process your personal data to provide our services and customer support, as well as to market ourselves and our services. This processing is necessary for our legitimate interest in developing, improving, and selling products and services, and maintaining good customer relations with you. Your personal data may also be processed so that other companies can market products that may be useful to you in connection with your tenancy. Such marketing may include broadband providers, insurance companies, and electricity suppliers.
We also process your personal data when necessary to pursue a legal claim. This may occur, for example, in cases of disturbances in the residence, late or missing rent payments, or damage to the apartment.
We retain your personal data for as long as it remains relevant. A guarantee commitment, or a decision regarding a legal guardian or trustee, will be deleted two years after the commitment or decision has ceased to apply.
After the tenancy has ended
We will delete and purge your personal data once you have moved out of your apartment or vacated your premises. However, certain information must be retained for at least two years thereafter, such as the tenancy agreement, decisions from the social welfare board, and proof of studies. Personal data contained in our accounting records, such as payment information, will be stored for seven years, including the current year, in accordance with accounting regulations.
In the event of a sale of the property where you currently reside or rent premises, or in some cases, where you have previously lived, relevant data required by law and contractual obligations will be transferred to the acquiring company.
Suppliers
Titania may process personal data of contact persons and other employees of our suppliers. Such personal data may include, among other things, name, address, email address, job title, areas of responsibility, and other information necessary for purposes such as placing orders, assigning tasks, managing access cards and permissions to properties and systems, monitoring and ensuring the quality of your deliveries, managing your responsibilities and commitments to us, and enabling future business relationships. The legal basis for this processing of personal data is our legitimate interest.
Who do we share your data with?
Titania shares your information with a number of partners, such as real estate agents and property managers.
We may also need to disclose your personal data to the social welfare board or other relevant authorities, or when required by law or official decisions.
Titania always enters into data processing agreements to ensure an adequate level of protection for this type of processing, and to regulate that our data processors handle the information in accordance with applicable data protection legislation.
Where do we process your data?
We always strive to process your personal data within the EU/EEA. In certain situations, such as when we share your information with an IT provider operating outside the EU/EEA, your personal data may be processed outside the EU/EEA. If and when your data is processed outside the EU/EEA, we ensure that an adequate level of protection is in place and that appropriate safeguards are applied (for example, through the use of the European Commission’s Standard Contractual Clauses).
